The Booking Agreement

Please read the details of the terms and conditions of the booking agreement given below. A legally binding contract is formed when a booking is made and accepted. When you sign the booking form, you (and any other person on whose behalf you book) agree to accept these conditions and acknowledge that you have read the relevant trip dossier and the General Information section on our website. You also warrant that the information you provided in the booking form is complete and accurate.

A non-refundable deposit of US $500 per person (Bank transfer) or 10% of the total cost, whichever is the greater amount, is required at booking.

Insurance

Please purchase your travel insurance before making any payment transfers or buying your international flights to ensure you are covered in trip cancellations due to unforeseen circumstances. For example, your travel insurance should cover cancellation due to ill health or the death of a family member at home, a pandemic, helicopter evacuation in case of natural calamities, political uprising, injuries or illness, etc.

A condition of our accepting your booking is that you purchase comprehensive travel insurance as soon as you receive confirmation. Your policy must also cover overseas medical treatment and aircraft evacuation from remote areas.

The balance payment of the tour cost is due 60 days before departure. If a booking is made less than 60 days before departure, the total amount will be paid at the booking time.

If you fail to pay by the due date, we reserve the right to cancel the booking and retain your deposit.

Prices

Our prices depend on domestic airfares, exchange rates, fuel costs, and other unforeseen circumstances. Therefore, we reserve the right to amend the itinerary and trip costs without notice up to the day of departure.

Changes

Any additional change to the original booking will incur a fee of US$ 50

Cancellation policy

Contact Responsible Adventures immediately for any trip cancellations. Cancellation will take effect only after the receipt of a written confirmation, and cancellation fees will apply as follows:

  • More than 45 days before departure – Minus the deposit
  • Between 30-15 days before departure – 50% of the tour cost
  • Within 14 days of departure date – 100% of the tour cost

 

We will not be responsible or compensate:

  • If the tour is cancelled due to natural calamities or political unrest.
  • Should you leave the tour/trek after it has started, be it at your own will, due to ill health, or a medical emergency? A cover letter will help facilitate your claim through your insurance company.

It is only included in the tour price if specified.

International airfares, visa and passport costs, single supplements, tips to guides, porters, drivers, etc., items of personal nature, alcoholic and soft drinks, phone calls, additional tours, laundry, excess baggage, and costs associated with delays or postponements outside the direct control of Responsible Adventures.

Your health and fitness

All group members are expected to be moderately fit and able to walk 5 – 8 hours daily. You should see your dentist and check with your doctor about necessary vaccinations, some of which need two months to become effective. Pre-existing medical conditions must be stated honestly in the ‘Medical Statement & Information Form’ and returned to HR with this booking form and deposit.

Cancellation by us

If the minimum number of operating a tour is not reached, we reserve the right to cancel the trip and advise you of this 28 days before departure. We will refund all payments made to us but will not be liable for any claims made by you or for additional costs incurred.
